SUMMARY This position will assist with the administration of contracts within the Legal Department.Will handle a wide variety of complex and confidential situations; responsible for confidential and time sensitive material;also prepares routine and advanced correspondence including letters, memoranda, and reports. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. •Liaises with appropriate counterpartsin sales, finance and operations department to assure approvals and accurate information obtained •Coordinates information between the legal department and operations to ensure specifications are being met •Custodian and maintains all documents and records relating to legal contracts •Manages timely creation of appendices, addendums, master services agreements, including all applicable revisions •Provides editing, execution, filing, and follow-up of contracts as directed. •Maintenance of all documents and records relating to legal contracts for customers and vendors •Prepares notice documentation regarding contracts for customers and vendors •Verifies new customers as legal entity with state or national department offices •Composes and prepares confidential correspondence, reports, and other complex documents as directed. •Creates and maintains contract database and spreadsheet files according to established procedures •Updates customer listing and notifies all departments accordingly •Assist with special projects on behalf of the Legal Department •Provide Administrative Support to the Legal Department. REQUIRED KNOWLDEGE, SKILLS & EXPEREINCE: •3+ years of experience in a related field •Demonstrated computer skills with MS Word, PowerPoint, Excel, Outlook, etc. •Demonstrated written and verbal communication skills •Demonstrated ability to prioritize and multitask in a fast-paced, dynamic environment. •Flexibility •Strong sense of confidentiality and urgency DESIRED SKILLS AND EXPEREINCE: •Experience directly supporting a Corporate Legal or internal Contracts Department •Experience editing and “redlining” documents SUPERVISORY RESPONSIBILITIES Will assist in the supervision of department administrative assistant. LANGUAGE SKILLS English and Spanish Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.Ability to write routine reports and correspondence.Ability to speak effectively before groups of customers or employees of organization. MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.Ability to deal with problems involving several concrete variables in standardized situations. CERTIFICATES, LICENSES, REGISTRATIONS Must successfully pass background investigation and assessment. OTHER SKILLS Must be proficient with MS Word, Excel, PowerPoint applications.
